I often receive Word, Power Point, and PDF files with size larger than 1MB, which are over-killed in most cases (actually, 500KB is already considered over-killed by me). With the limited size of my e-mailbox, the slow wireless bandwidth I use, and the increasing e-mail traffic, any e-mails sent to me larger than 1MB will be filtered out and will not be read.
Most of the large file spaces are taken up by "pictures" and "data".
Followings are several ways to help you to reduce the Word, Power Point, and PDF files:
1. Pictures - reduce your picture resolution "before" embed/insert them
into the document. You can use different software (e.g., MS Picture Manager,
Firework) to downsize your pictures from, e.g., 6MB to 125kB. Of course, keep your original 6MB pictures in your hard disk for future use.
2. Data graphs - Sub-sample your data graphs (e.g., generated by
Matlab, Simulink, Excel) "before" embed/insert into your document. For example, instead of plotting all 100,000 data_point/second, wisely subsample and plot, e.g., 100 data_point/second when appropriate (good place to apply Nyquist criteria). Of course, keep your original 100,000 data_point/sec in your hard disk for future use.
3. Scan in PDF files - When you scan in, e.g., your homework to PDF
files, use resolution between 100 dpi to 150 dpi. Unless color or gray scale is important in your document, use "black and white only" option. These selections can significantly reduce your PDF file size.
